PPE RFQ Checklist for Importers and Distributors

The commercial, technical and documentation inputs that help suppliers return a usable PPE quotation instead of a list of assumptions.

Multi-category PPE specification and export coordination

Describe the buying context

Tell the supplier whether the request is for distribution stock, a named industrial project, a tender or a private-label program. Include destination country, required delivery point and target timing. These details influence model selection, documents, packaging and export planning.

Provide a line-level product brief

For each item, state the protection category, intended task, preferred model or configuration, quantity and size or colour mix where known. Separate mandatory requirements from preferences so the supplier can propose an alternative without hiding a deviation.

  • Product type and intended application
  • Target standard or buyer specification
  • Required quantity and expected repeat demand
  • Size, colour and configuration mix
  • Documents required before approval

Clarify branding and packing

Private-label requests should include logo artwork, marking locations, language needs and packaging expectations. Ask which elements are feasible for the proposed model and which minimum quantities apply. Do not treat a general customization statement as final approval.

Make quotation assumptions visible

Ask the quotation to identify unconfirmed specifications, document status, tooling or artwork costs, sampling steps, lead-time basis and Incoterm. A useful quotation is one that lets the buyer see what is included and what still requires verification.

Frequently asked questions

Points buyers often need to clarify.

Should an RFQ include a target standard if the final model is not selected?

Yes. State the buyer or market requirement and mark it for model-specific verification rather than assuming that every proposed model meets it.
